That tiny icon that pops up whenever you paste something into a Word file can get pretty annoying for an editor. It obscures the text, gets clicked on inadvertently. It’s really just technology getting in the way.
NOTE: In Word, there is an overriding style attached to every paragraph, so any formatting changes made to paragraphs without changing the associated style may not stick. That’s when you might notice that your formatting changes do not work. To clear formatting from content, select the text for which you want to clear formatting. View formatting symbols and layout guides in Pages on Mac. Formatting symbols (called invisibles) like the ones shown below are added every time you press the Space bar, Tab, or Return, and when you add a column break, page break, or section break.By default, you can’t see them, but you can turn them on to see where formatting changes have been applied. On the File menu, click Save As. On the Format pop-up menu, click Word Document (.docx). If you are using Word for Mac 2011, make sure that the Maintain compatibility with Word 98-2004 check box is clear. To remove the update installer, first drag the Microsoft Office 2011 14.4.9 Update volume to the Trash, and then drag the file that you downloaded to the Trash. Note This update is also available from Microsoft AutoUpdate, an application that can automatically keep your Microsoft software up to date. Customize the document headers and footers in Word 2011 for Mac to show page numbers, dates, and logos for formal stationery. You can work with headers and footers in several of Word 2011’s views. The quick way to work with headers and footers is by way of the Header and Footer group on the Office.
Here is how to turn it off.* PC instructions follow the Mac instructions.
In Word’s Preferences under “Edit”, deselect the option under “Cut and paste options” that says “Show Paste Options buttons”.
File / Options / Advanced
under Cut, copy, and paste: deselect “show paste options button when content is pasted”
*Your mileage may vary. Word may not cooperate, regardless of your settings.
Here’s an explanation of how to control this hovering paste options box up in Word for PC from my colleague Dawn McIlvain Stahl, over at Copyediting.com.
